Due to continued growth, Strata Choice has a vacancy for a dedicated individual to join our Corporate Services Team as an Administration Assistant. This full-time position is based in our Head Office in St Leonards and reports to the Corporate Services Director.

 

Key duties are:

• Provide a wide variety of complex administrative support

• Assist with the smooth delivery of services to our internal customers

• Prepare and modify documents & templates

• Liaise with internal stakeholders to keep a variety of projects on schedule

• Track and coordinate all assigned tasks to meet deadlines

 

You will have had a minimum of 12 months experience in a similar role where you have provided efficient and accurate admin support to a team and/or a Senior Manager. You may have a certificate or tertiary qualification in administration or related business discipline. Property industry experience is not essential, you will learn the ropes as you settle into the team.

• Intermediate to advanced skills with the MS Office suite of software

• Adaptability and quick thinking

• Confidence to communicate effectively with all levels of staff

Working within the operations department and supported by an experienced team, this role provides a wide variety of day to day support administrative services for the whole business spanning our four office locations.

 

Key duties are:

• Managing and distributing incoming and outgoing mail

• Scanning and document management

• Reception duties

• Handling incoming and outgoing calls and messages

• Assisting with the upkeep of common areas such as meeting rooms and our staff lunch room

 

We are looking for an office “all-rounder” who can work both independently and cooperatively within a team. You will have excellent administrative skills and corporate presentation. Reporting to the Corporate Services Director, you will work in this new role alongside an existing team member at our St Leonards head office. This role is responsible for the successful delivery of a wide variety of Corporate Finance Management functions. We are a rapidly growing business with scope for career development for the right individual.

 

You will be responsible for a range of tasks including:

• Group revenue management, including fee processing, debtor and monthly reporting
• Group finance management, including reconciling bank and financial statements, generating profit and loss statements and monitoring cash flow
• Preparation of management reporting, job coding and accruals
• Preparation of GST/ IAS reports

 

You will have a hands-on, team approach with great attention to detail, an ability to work to tight deadlines and be able to produce quality results. This is a busy and varied role which will require sound organisational skills and the ability to work under pressure from time to time.

 

Other selection criteria include:

 

• Excellent communication skills both written and spoken
• Able to interface and build relationships with internal stakeholders
• Experience with Xero accounting software
• Knowledge of the strata / property industry is desirable but not essential

An accounting or commerce degree or studying towards an equivalent qualification is preferred.

Strata Choice has a vacancy for a dedicated individual to join a well-established team as the Executive Assistant to the Associate Director of our busy CBD Branch. As Executive Assistant you will be an integral member of the team and actively participate in driving the success of the CBD Branch.
This is a hybrid role and will offer you more than the traditional scope of EA duties. We are looking for someone who can also manage the office and deputise for the Associate Director as required. Every day is different, and you will be motivated by working in a fun and friendly environment.

 

The duties will include: –
• Working closely with the Associate Director to ensure the smooth administration of the branch
• Ensuring that the branch staff are both supported and guided to complete their tasks and required reports on schedule
• Liaison with internal stakeholders including our Head Office and other branches
• Diary management and call screening for the Associate Director
• Preparation of meeting agendas and minutes
• Organising business itineraries and travel arrangements as required
• Preparing reports and proof-reading documents
• Coordination of branch social events

 

You will have had previous experience in a similar role, supporting at a senior level. Experience in the strata or property industry is not essential, if you are switched on and a go-getter, we can teach you the rest.
