Strata Choice is becoming a paperless office to enhance workplace security, compliance and reduce our environmental footprint.
The final piece to becoming a paperless office is digitising Minute Books and Archive Boxes. Currently, many of your records and archives are stored digitally and accessible via your online committee portal.
However, some older minute books still exist in paper format. To preserve these records and reduce the risk of ink clarity fading, we plan to have these documents scanned by a professional document digitisation provider. Once scanning works are complete, we will upload these electronic scans to the online committee portal to view at any time.
Benefits of Digitising
Digitisation allows for easier access to the records by Strata Committee members and, where required, strata inspectors who wish to examine the books and records of the Owners Corporation. Online availability of all documentation will also enable Strata Choice to service its customers more efficiently.

Who is paying for the scanning?
Strata Choice will provide the invoice for scanning costs directly from the document digitisation to the client. All organisation and processing done internally by Strata Choice will be free of charge.
How much will it cost?
Approximately $15 per minute book (excluding GST) and approximately $220 per box (excluding GST).
What is happening to the hard copies once they have been scanned?
The scanning provider will confidentially and environmentally destroy hard copies in accordance with Australian legislation for secure destruction of physical documentation.
Our Environment
Strata Choice has an active commitment to sustainability. There is a direct correlation between the levels of paper used in the workplace and the impact on the environment.
For instance, it takes 11,134 kilowatt-hours (kWh) to produce one ton of paper — that is the same amount of electricity an average household uses in over ten months.
In addition, the ink and toner cartridges used for printing are horrible for the environment if they aren’t disposed of properly. It is estimated that more than 400 million ink and 100 million toner cartridges end up in landfills every year.
